What we collect when you use this website or speak with us, and how we use it.

1. What we collect

When you use the holiday planner on this site or message our WhatsApp number, we may collect your name, phone or WhatsApp number, email address (if provided), city, and any travel preferences you share with us, such as destinations, dates, group size, budget range and dietary requirements like vegetarian or Jain.

We also record how you reached the site (for example, the advertising campaign or website that referred you) so we know which channels help travellers find us. This is saved with your enquiry.

When you browse the site we record anonymous visit information: the pages you view, the website or campaign that referred you, the type of device, and your approximate city and country, which our hosting provider works out from your connection. We do not store your IP address. If you later send us an enquiry, the visits from the same browser are linked to it so we can understand what you were interested in.

2. How we use it

We use the information you share to respond to your enquiry, prepare a personalised itinerary, follow up over WhatsApp, phone or email, and process your booking if you choose to proceed. We do not use your contact information for anything beyond your own travel enquiry unless you tell us otherwise.

3. Marketing messages

We only send you travel ideas and offers on WhatsApp or email if you tick the optional box on our holiday planner, or otherwise tell us you’d like them. Without that, we contact you only about your own enquiry or booking. You can stop marketing messages at any time by replying “STOP” on WhatsApp, using the unsubscribe link in an email, or telling us directly.

4. Cookies and analytics

This site does not set advertising or tracking cookies by default. If we use Google Analytics, it only loads after you choose “Allow analytics”, and it helps us understand how visitors use the site (pages viewed, general location, device type). We do not use it to identify you personally.

The site also keeps a small amount of information in your own browser: a random visitor code used for the anonymous visit records above, your answers to the holiday planner (so they are not lost if the page reloads), and how you first reached the site. We don’t record visits if your browser sends a “Do Not Track” or Global Privacy Control signal.

5. Third-party sharing

We share your travel details with our Japan ground operator (Vb Japan DMC) and relevant suppliers, such as hotels, airlines and local transport, only as needed to plan and deliver your confirmed trip. Enquiries submitted on this site are stored securely with our website hosting provider, Cloudflare. We do not sell or rent your contact information to third-party marketers.

6. Data retention

We retain enquiry and booking information for as long as reasonably needed to serve you and meet our own record-keeping obligations, after which it is deleted or anonymised. Anonymous visit records are deleted automatically after 13 months.

7. Your rights

You can ask us at any time to tell you what information we hold about you, correct it, delete it, or withdraw your consent to marketing, by messaging us on WhatsApp or at the contact details below.

8. Security

We take reasonable technical and organisational measures to protect the information you share with us, though no method of transmission or storage is completely secure.

9. Children’s privacy

This website is intended for use by adults planning travel. Where children’s details are shared as part of a family booking, they are used solely for that trip’s planning and documentation.

10. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top of this page reflects the most recent revision.
